Mater Private Hospital Springfield is looking for an Executive Support Officer to join the team until February 2026. This role is designed to provide high quality confidential administrative, secretarial and executive support to the General Manager, Director of Clinical Services and the Manager Support Services Mater Private Hospital Springfield. This is a maximum-term contract until February 2026 (this will in turn line up with the opening of Mater Springfield stage 2)

Salary range: $85,878 - $94,618 (MCA4) per annum plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits! 

What you’ll be doing

You will provide direct confidential secretarial support to the General Manager, Director of Clinical Services and the Manager Support Services (the MPHS Executive team). You will also meet the below criteria:

  • Maintain a calendar of appointments and negotiate time schedules for the MPHS Executive team
  • Provide coordination of meetings and functions on behalf of the MPHS Executive team.  Prepare necessary support documents, materials and facilities, including the provision of confidential minute recording
  • Examine and prioritise incoming correspondence, papers and reports to determine action.  Prepare appropriate replies for review and endorsement
  • Manage incoming telephone calls as required for the MPHS Executive team
  • Act as intermediary and liaison between the Director and others dealing with enquires and other delegated matters on a wide range of topics
  • Receive and host visitors to and on behalf of the MPHS Executive team
  • Prepare concise briefing notes from files, reports and official papers
  • Document preparation including spread sheets and presentations
  • Filing and maintaining central record files
  • Organising functions and events for MPHS
  • Ordering of office equipment and supplies
  • Processing, tracking and follow up for compliments and complaints for the hospital
  • Assist with the coordination of MPHS Volunteers as required
  • Maintain an ordered working environment
  • Assist with key administration portfolios as directed by the MPHS Executive team (ie organising training and orientation schedules for new employees, assisting with administration of VMO paperwork and setup)
  • Championing and supporting a positive team culture throughout MPHS, including assisting to coordinate social events, celebrate staff birthdays and any adhoc duties

About you

You will have experience in a similar role, ideally in a healthcare setting. You will also meet the below criteria:

  • High level oral and written communication skills
  • Expertise in Windows Applications (e.g. Word, Excel, Access and PowerPoint) as well as Outlook
  • Advanced typing skills
  • The ability to liaise with staff at all levels including directorates of the MPHS and MPH Executive, key personnel and visitors
