About the role
Catherine’s House have an exciting, permanent full time and permanent part time (19 hours per week) opportunity for Senior Administration Officers to join the team! This role will see you be the first point of contact to patient care for all of Services at Catherine’s House.
Catherine’s House is Australia’s first integrated centre for perinatal mental health care and provides mental health treatment and support to new parents.
With one in five mums and up to one in ten fathers experiencing depression, anxiety and other mental health issues before or after the birth of a child, this new facility will triple the number of public beds in Queensland from 4 to 12 for families in need of perinatal mental health support.
Salary range: $38.81 – $43.16 per hour plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
Key accountabilities and experience required for this role include:
- Provide confidential administrative support to Catherine’s House team across the service from 08:30-5:00pm, with the availability to also work between 6am – 6pm , Monday to Friday.
- Working on reception as the first point of contact, efficiently representing Mater with strong customer focus to patients, staff and visitors ensuring effective communication between various departments within the hospital
- Manage outpatient appointment scheduling – including referral management, appointment scheduling, arriving/departing patients, covering Catherine’s House main reception phone and working as a team to support intake, admission, inpatient and discharge administrative duties.
- In conjunction with the above, this role will possess primary responsibility of all areas of private practice administration and work closely with the Private Practice Manager, as well as liaison with Private Practitioners.
- Confidentially prepare patient documentation and other administrative functions such as: referral management, patient billing using Gentu software, photocopying, filing, mail, sending SMS’s, booking transport and interpreters.
- Ensure effective, accurate and timely written and verbal communications with staff and clients, with confidentiality, sensitivity and discretion
- Provide accurate data entry using various network-based information systems
- Supporting clinicians and leaders with daily general administrative tasks as required.
- Work collaboratively with and across a multidisciplinary team including: Medical, Nursing, Allied Health, Administration, Pharmacy, etc.
About you
We are looking for a professional, team oriented experienced Senior Administrator who is adaptable to change, works well in busy environments with excellent problem-solving skills.
The successful candidate will possess:
- High level customer service, verbal and written communication skills
- Demonstrated ability to provide efficient and effective administrative support, working autonomously and collaboratively to support your peers, whilst taking initiative and ownership for your role and responsibilities
- Demonstrated ability to communicate effectively with all levels of staff, patients and visitors
- Accurate data entry skills with a high level proficiency in Microsoft Office and in house software systems
- Proven experience in organising and prioritising work effectively within busy, demanding, fast paced environments
- Demonstrated ability and willingness to adapt to, and learn new systems, including changing working processes quickly and efficiently
- To be reliable, adaptable, punctual and flexible
- A solution focused, mature, can-do attitude.
- Previous experience working within private practice administration.
Highly desirable:
- An understanding of medical terminology and/or healthcare systems,
- Previous experience working with Gentu, or Genie Practice Management software.
