About the role

Mater Bundaberg is looking for an Executive Support Officer to join the team on a Full-time and/or Permanent Part-time capacity.

The Executive Support Officer provides high-quality administrative and operational support to the Hospital General Manager and Corporate Affairs & Growth (“CAG”) team.

The Executive Support Officer coordinates the functions of the Hospital Leadership Support team to ensure adequate and consistent administrative and operational support is available to Hospital leaders.

Salary range: $45.81 - $50.46 per hour plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits! 

What you’ll be doing

  • Source locums/short-term specialists to meet service delivery gaps as identified by the General Manager and make all necessary arrangements pertaining to travel and accommodation
  • Act as key point of contact and coordination for Visiting Medical Officer (“VMO”) workforce
  • Coordinate, extending to appropriate delegation, CAG and Foundation activities/functions locally (including Mercy Food Services, Mercy Linen Services and Corporate Services where applicable) as directed by relevant CAG stakeholders
  • Assist with preparation of correspondence and distribution of information
  • Ensure all Mater People reporting to this position conduct themselves in accordance with the Code of Conduct and associated Behavioural Standards
  • Ensure all reporting personnel have appropriate training and development opportunities available to them to assist in achieving strategic and business objectives
  • Ensure staff performance reviews are undertaken in accordance with organisational policy
  • Develop a cooperative work environment and maintain open communication through effective interpersonal skills and appropriate forums
  • Maintain an effective and current succession plan to anticipate absences as a result of leave or separation
  • Authorise staff time and attendance records and applications in accordance with Mater delegations

About you

  • Qualifications in business administration, healthcare administration or related discipline
  • Minimum of two years experience in a healthcare or hospital setting, preferably in a business support or related hospital support role
  • Ability to promote the Vision, Mission and Values of Mater
  • High level facilitation and influencing skills along with strong decision-making skills with the ability to set, manage and implement priorities
  • Significant, proven experience of identifying, developing, establishing and maintaining strong relationships with both internal and external stakeholders
  • Ability to create and develop collaborative work environments where trust, integrity and open communication are valued
