About the role
Mater Private Hospital Brisbane has an excellent opportunity for an enthusiastic Senior Administration Officer to join the Inpatients Administration Team, working part-time in a hybrid role. The successful candidate will cover the Central Staffing Office and as a Ward Clerk/Administrator in the Mater Private Hospital.
This Senior Administration Officer role is a permanent part-time opportunity (53.2 hours a fortnight) and will see you working varied day shifts between 630 - 1500 and possibly an occasional Saturday 800 - 1200. Flexibility in availability will provide opportunities for extra shifts.

Salary range: $39.79 - $44.25 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
In this role, you will provide high-quality administrative support that ensures smooth operations, exceptional service, and effective coordination across wards, departments, and staffing functions. You will:
- Provide confidential, accurate, and efficient administrative support across multiple wards and departments while representing Mater with professionalism and compassion to staff, patients, and visitors.
- Communicate clearly, sensitively, and with discretion, ensuring timely information flow to clinical teams, patients, and stakeholders.
- Perform a wide range of administrative duties in line with departmental policies and procedures, working closely with Nursing Unit Managers, Clinical Teams, and the CSO Manager.
- Accurately manage patient admissions, discharges, and transfers using network-based information systems to support safe and efficient patient flow.
- Liaise with department managers, Team Leaders, and external agencies to support safe hospital staffing, including confirming hours worked, capturing cancellations, and ensuring correct billing.
- Review, verify, and approve timecards, and support the maintenance of relief and casual rosters in collaboration with the CSO Manager.
- Attend daily hospital safety huddles to report on staffing status, identify risks, and escalate concerns as required.
- Remain calm, composed, and solutions-focused in emergency situations, demonstrating the ability to think on your feet.
- Apply sound judgement to resolve immediate issues where precedents may not exist or procedures are not clearly defined.
- Build positive, collegial relationships with Mater staff, agency personnel, and all stakeholders.
- Manage your own roster, mandatory training, and ongoing professional development proactively.
About you
The successful candidate will bring strong communication skills, a high standard of customer service, and the ability to deliver organised, accurate, and efficient administrative support. You will:
- Demonstrate exceptional customer service along with strong verbal and written communication skills.
- Be able to provide timely, well-organised, and effective administrative support in a busy environment.
- Communicate confidently and professionally with staff, patients, and visitors at all levels.
- Complete accurate data entry and possess a high level of proficiency in Microsoft Office applications.
- Effectively plan, organise, and prioritise your workload within fast-paced and demanding settings.
- Ideally bring previous administration experience within a healthcare environment, noting that while not essential, it is highly regarded.
- Contribute positively to Mater’s Administration Services Team, supporting the delivery of exceptional service and patient care.
