About the role
We currently have an exciting opportunity for an experienced Senior Administration Support Officer to join the team at Mater Private Hospital Springfield on a permanent full-time basis, 38 hours per week. This role involves providing administrative support within theatre bookings. You’ll be part of a welcoming, patient-centred team that values excellence, teamwork, and compassion.
Mater Private Hospital Springfield is a state-of-the-art 80-bed facility providing a range of medical and surgical services, including a combination of overnight and day medical/surgical beds, and a day oncology unit within a dedicated cancer care centre.
Salary range: $39.79 - $44.25 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
- Manage, organise and provide confidential administrative support to ensure maximum utilisation of public theatre sessions
- Assist in the preparation of waiting list reports, theatre schedules and other associated correspondence on a range of surgical and procedural service issues.
- Ensure compliance of the guidelines for booking of patients onto the waiting list in accordance with the QH Elective Surgery Policy.
- Ensure effective, accurate and timely communications with staff and clients, communicating with sensitivity and discretion.
- Assist with accurate data entry of using electronic systems
- Ensure support of other administration staff within Surgical and Procedural Services unit.
- Providing exceptional customer service to patients and clients.
- Maintain a high level of discretion, sensitivity, and confidentiality, complying with administration and financial policy and procedures.
- Manage, organise and provide confidential administrative support to the department, ensuring areas are efficiently managed and represented with strong customer focus to staff, patients, clients, and visitors with effective communication between various sections within the hospital.
- Exercise judgement where necessary to solve immediate problems in situations where precedents have not been set and procedures not defined
About you
- Highly experienced in providing medical administrative support
- Highly developed time management and organisational skills
- Strong computer skills including competence using Patient Administration systems (or the ability to quickly learn new systems)
- High level of customer service, verbal and written communication skills, including a demonstrated ability to communicate effectively with all levels of staff, patients and visitors.
- Able to organise and prioritise work effectively within a busy, fast-paced, demanding environment
- Available for all shifts across a 5-day working week between the hours of 7am to 6pm
