Ready to play a pivotal role in one of Mater’s most exciting transformation projects? Mater Group is seeking an organised, proactive and relationship driven Project Office Coordinator to support our Project Office with the integration of the recently acquired Gold Coast Private Hospital into the Mater Group. This is a full-time, maximum-term (12 months) role, based at our Newstead Offices.

Salary range: $93,103 - $102,572 (MCA4) per annum plus superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits!  

What you’ll be doing 

In this dynamic position, you’ll be the operational backbone of the Project Office, working closely with the Integration Lead, Program Manager, and high‑performing project teams. You’ll ensure the Program runs smoothly, acting as the central point of coordination, communication and support for internal and external stakeholders.

  • Deliver high‑level, confidential administrative support to the Integration Lead, Program Manager and broader team.
  • Manage daily operations of the Program Office, including inbox, calendars and essential workflow coordination.
  • Lead weekly status reporting and maintain critical RAID logs with accuracy and timely risk escalation.
  • Prepare submissions for Steering Committee review and coordinate joint work with external partners.
  • Own the onboarding experience for new staff, contractors and vendors joining the Program.
  • Support maintenance of the Master Program Schedule, across internal and external workstreams.
  • Coordinate meetings, prepare agendas, manage documentation and produce confidential minutes.
  • Process project invoices, ensuring accurate entry into Docusign and financial systems.
  • Assist with testing coordination for technical deliverables and help resolve emerging issues.
  • Provide flexible support across the Program Office to ensure milestones and outcomes are met.

About you 

You will have project/program coordination experience and a demonstrated understanding of project fundamentals (milestones, timelines, status reports, RAID and deliverables).

  • Proficient keyboard/data entry skills
  • Proficient in Microsoft Word, Excel, Outlook and PowerPoint
  • Ability to learn and develop new project coordination skills
  • Excellent verbal communication and interpersonal skills
  • Excellent written communication skills
  • Capability to use or learn specialised project tools (e.g., Publisher, MS Visio, MS Project, project management platforms)
  • Previous experience in secretarial/administrative duties in an acquisition project environment (desirable)
  • Previous experience working as part of or alongside a project team(desirable)
  • Experience in maintaining project plans and documentation(desirable)
  • Understanding of project lifecycle (desirable)
