Senior Administration Officer - QCEIDAH

About the role

The Administration Officer will support, plan, organise and implement efficient and effective administration systems for the Queensland Centre of Excellence in Autism and Intellectual Disability Health (QCEIDAH). This role will be offered maximum term contract for 12 months, part time 19 hours per week, based at our South Brisbane campus.

Salary range: $39.79 - $44.25 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits! 

What you’ll be doing

  • Provide high-level support to senior staff, ensuring coordination of diaries, travel logistics, and engagements critical to the Centre’s success
  • Triage and oversee Director’s email accounts, ensuring key priorities are actioned efficiently
  • Support general administration duties across centre, when required
  • Exercise discretion and independent judgment in managing sensitive correspondence and confidential communications
  • Proactively identify and address Centre needs, initiating actions from Centre meetings and implementing solutions to improve workflow efficiency
  • Draft, edit and format agendas, presentations, all-staff communications, and routine correspondence to meet required timeframes and quality standards
  • Act as a liaison between the Centre and key internal and external partners to foster collaboration, building trust and acting with high integrity
  • Work collaboratively with the other professional teams across Mater to create synergies and promote the strategic goals of QCEIDAH and Mater Research
  • Comply with and adhere to Mater Health Services policies, procedures, standards and legislation relevant to the role and work area

About you

  • Previous demonstrated experience in administrative support in a healthcare setting is mandatory
  • Previous experience providing executive support is desirable
  • Excellent customer service, communication and interpersonal skills
  • High level administration skills
  • Open and flexible attitude to change in work processes
  • Ability to maintain confidentiality when dealing with patient information
  • Ability to work both independently and cooperatively as a team member
  • Proficient keyboard/data entry skills and knowledge of Microsoft suite of software
  • Previous experience in window based patient information systems is desirable
