About the role
Mater Engineering and Maintenance
have an opportunity available for an experienced Senior Administration Officer to join their team on a permanent part time basis. The successful candidate will be required to work 3 shifts per week (19.5 hours per week) between the hours of 7am to 4pm Monday to Friday based at Mater Hospital’s South Brisbane Campus.

The position is responsible for various administrative functions to support the management of the Engineering & Maintenance department in Queensland. This includes work order data entry, invoice matching, service records filing, administrative contractual management support, as well as other general administrative tasks (including various secretarial tasks).

Salary range: $39.79 - $44.25 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits! 

What you’ll be doing
As a Senior Administration Officer, you will provide comprehensive administrative support to the Engineering and Maintenance team, ensuring accuracy, efficiency, and strong service delivery across the department, including:

  • Supporting Engineering and Maintenance operations through work order, purchase order, and asset data entry
  • Managing records control, including service certifications, invoices, work permits, plant registrations, and quotes
  • Coordinating and maintaining asset and service records within asset management systems
  • Assisting with invoice review, reconciliation, and submission within required timeframes
  • Providing telephone and service desk support, including triaging maintenance requests and urgent calls
  • Preparing reports, correspondence, meeting notes, and departmental communications
  • Liaising professionally with trade groups, contractors, and internal stakeholders
  • Supporting workflow improvements and general administrative tasks as directed by Engineering leadership

About you
You are a highly organised and proactive administrator who thrives in a technical or maintenance-based environment and enjoys supporting operational teams, with:

  • Demonstrated experience in an administrative role, ideally within engineering, facilities, or maintenance environments
  • Strong data entry skills with a high level of accuracy and attention to detail
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and SharePoint
  • Experience using financial, asset management, or works management systems
  • Excellent written and verbal communication skills, with a professional and customer-focused approach
  • The ability to manage competing priorities, solve problems independently, and work to deadlines
  • A Certificate in Business Administration (desirable)
  • A current driver’s licence (essential)
