About the role

The Mater Administration Service currently has an opportunity for an experienced Senior Administration Officer to join their team working within the Call Centre team. The position is offered on a permanent full-time basis, working 38 hours per week between the hours of 7:30am - 5:00pm.

The Senior Administration Officer plays a key role in the delivery of exceptional service to Mater patients, relatives and staff and you will support the daily administrative operational requirements of the unit. You will proactively perform tasks relating to service delivery, business support, systems administration, and will working closely with the Administration Coordinator and your team. You will be responsible for supporting the management of resources to meet business needs and growth. 

Salary range: $39.79 - $44.25 per hour plus superannuation andaccess to not-for-profit salary packaging up to $15,900  +access to many staff benefits!

What you’ll be doing

The purpose of this position is to provide exceptional administration support to maximise service delivery. The key accountabilities for the role include but are not limited to:

  • Provide confidential administrative and call centre support within a hospital environment, delivering a high level of customer service to patients, carers, and hospital staff.
  • Answer and manage incoming calls efficiently, responding appropriately to routine and urgent enquiries while remaining calm and professional.
  • Follow established policies, procedures, and escalation pathways when managing patient enquiries and bookings.
  • Communicate clearly and respectfully with patients and staff, using sensitivity and discretion when handling confidential information.
  • Accurately enter and update information in hospital systems and call management platforms.
  • Support day-to-day administrative tasks as directed by the Team Leader or Manager.
  • Use sound judgement to resolve straightforward issues and escalate more complex matters as required.

About you

  • Good written, verbal and communication skills
  • Strong computer software skills, particularly Microsoft package skills
  • Ability to work autonomously or seek appropriate advice when needed
  • Ability to multi-task and deal with conflicting demands within tight timeframes
  • Ability to maintain composure and positivity in times of change
  • Demonstrated ability to operate in a team environment using initiative, sound reasoning and strong listening skills
  • Good comprehension skills and a drive to understand processes and systems
  • Display good attention to detail, with the ability to escalate problems and receive feedback to develop appropriate solutions.
  • You will have a patient centric approach and have a passion for delivering an exceptional experience
  • Previous experience working in a team within the Medical/Healthcare profession is highly desirable
