About the role
Mater Private Hospital Bundaberg is seeking a highly organised, proactive and professional Executive Support Officer to provide high-level administrative support to the General Manager . This permanent full-time position works 38 hours per week and plays a key role in supporting the efficient operation of the hospital's leadership team.
In this dynamic and rewarding role, you will coordinate executive schedules, manage correspondence, organise meetings, prepare reports and presentations and support key operational and governance activities. Acting as a trusted partner to hospital leaders, you will help drive effective communication, maintain confidentiality and contribute to the delivery of exceptional healthcare services for the Bundaberg community.
Salary range: $46.96 - $51.73 per hour plus plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
Provide high-level administrative support, including diary management
Research, compile and draft information for decision-making and presentations
Prepare high-quality written correspondence and reports for distribution
Organise and facilitate meetings, including agenda preparation, distribution of materials, and follow-up on action items
Maintain a secure document management system for confidential files
Exhibit excellent communication skills, including consultation, interpersonal interaction and negotiation
Utilise advanced system applications for efficient secretarial and administrative support
Act as key point of contact and coordination for Visiting Medical Officer (“VMO”) workforce
Coordinate, extending to appropriate delegation, CAG and Foundation activities/functions locally (including Mercy Food Services, Mercy Linen Services and Corporate Services where applicable) as directed by relevant CAG stakeholders
Assist with preparation of correspondence and distribution of information
Authorise staff time and attendance records and applications in accordance with Mater delegations
About you
You will have experience in a similar role, ideally in a healthcare setting. You will also meet the below criteria:
Qualifications in business administration, healthcare administration or related discipline
Minimum of two years experience in a healthcare or hospital setting, preferably in a business support or related hospital support role
Ability to promote the Vision, Mission and Values of Mater
High level facilitation and influencing skills along with strong decision-making skills with the ability to set, manage and implement priorities
Significant, proven experience of identifying, developing, establishing and maintaining strong relationships with both internal and external stakeholders
Ability to create and develop collaborative work environments where trust, integrity and open communication are valued
