Senior Administration Officer - Emergency Department

Mater Hospital Springfield has an exciting opportunity for a Senior Administration Officer to join the Emergency Department in a full-time, permanent position. Reporting directly to the Emergency Department Nurse Unit Manager (NUM), you'll provide high-level administrative support that helps keep one of Queensland's newest public emergency departments running smoothly. This is a Monday to Friday position, working standard office hours (38 hours per week), with no shift work required.

Open 24 hours a day, seven days a week, the department delivers emergency care to the rapidly growing Greater Springfield community as part of a modern 186-bed hospital offering emergency, intensive care, surgical, maternity and paediatric services. This is an exciting opportunity to join a collaborative team and play an important role in supporting exceptional patient care close to home.

Salary range: $39.79 - $44.25 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits! 

What you’ll be doing

Working closely with the Emergency Department leadership team, you'll provide high-quality administrative support that contributes to the efficient day-to-day operation of the department. Your responsibilities will include:

  • Provide comprehensive administrative support to the Emergency Department NUM and leadership team
  • Manage roster administration, including shift changes, timecard updates and daily staff allocations
  • Coordinate meetings, correspondence and respond to general enquiries
  • Support recruitment and onboarding activities, including new starter communications
  • Complete data entry and assist with TrendCare administration and reporting
  • Log and follow up maintenance and facilities requests
  • Assist with departmental projects, process improvements and other operational initiatives
  • Maintain accurate records while handling confidential information with discretion

About you

You'll be an organised, proactive administrator who thrives in a fast-paced environment and enjoys supporting leaders to deliver high-quality healthcare services. You will bring:

  • Previous experience in a senior administration role within a fast-paced healthcare setting
  • Strong organisational and time-management skills, with the ability to manage competing priorities
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Confidence using Microsoft Office and other computer-based systems (experience with health information systems is highly regarded)
  • Ability to work independently while contributing positively to a collaborative team
  • A professional, proactive and customer-focused approach
  • Ability to maintain confidentiality when handling sensitive information
