About the role

Join Mater Hospital Brisbane as a Business Support Officer within Surgical Services, supporting the Division Director and Sub-Directors across Plastics, ENT, Ophthalmology, Colorectal and General Surgery.

This full-time, permanent opportunity is central to the smooth operation of the department, providing high-quality administrative and business support across workforce coordination, recruitment, onboarding, FTE and CRL management, and day-to-day operations. You’ll play an important role in keeping our surgical services organised, responsive and well supported.

Salary range: $39.79 - $44.25 per hour plus superannuation andaccess to not-for-profit salary packaging up to $15,900+access to many staff benefits!

What you’ll be doing

Working closely with the Surgical Services leadership team, you’ll provide proactive administrative support and help ensure the department operates efficiently. Key responsibilities include:

  • Providing day-to-day administrative and business support to the Division Director and Sub-Directors.
  • Supporting recruitment, onboarding and HR processes, including recruitment requests, HR forms and orientation of new staff.
  • Assisting with the management and coordination of FTE and CRL requirements across the department.
  • Supporting rostering activities, including roster updates, shift cover and relevant system administration.
  • Maintaining accurate spreadsheets, databases, calendars and workforce information.
  • Preparing reports, correspondence, meeting agendas and minutes.
  • Coordinating meetings, room bookings and other departmental activities.
  • Supporting purchasing and invoicing through D365, as directed by management.
  • Assisting with operational budgets, resources, leave requirements and other business support activities.
  • Coordinating administrative jobs and requests, including BEIMS, Capex and DTI.
  • Identifying opportunities to improve administrative processes, efficiency and service delivery.
  • Working collaboratively with colleagues, clinicians and key stakeholders to support the strategic and operational priorities of Surgical Services.

About you

We’re looking for an organised, proactive and adaptable administration professional who enjoys working in a busy healthcare environment and can confidently manage competing priorities. You will bring:

  • Previous experience in administration or business support in a healthcare or a medical environment.
  • Strong organisational skills and excellent attention to detail.
  • Ability to manage competing demands and meet tight timeframes while maintaining accuracy.
  • Strong written, verbal and interpersonal communication skills.
  • Ability to work both autonomously and collaboratively as part of a busy team.
  • Demonstrated initiative, sound reasoning and strong listening skills.
  • Confidence learning and working with systems, processes and databases, with Microsoft Office skills.
  • A naturally inquisitive approach and willingness to understand and improve processes and systems.
  • Ability to maintain composure, positivity and professionalism during periods of change and competing priorities.
  • A patient-centred approach and commitment to delivering an exceptional experience.
