About the role

Mater Hospital Brisbane is looking for an Executive Support Officer in a full-time permanent capacity at South Brisbane. This role is designed to provide high quality confidential administrative, secretarial and executive support to the Director of Clinical Services and Director of Critical Care Services.  This role will work as part of the wider Executive administrative team to ensure organisational alignment and support the organisational strategy.

Salary range: $85,878 - $94,618 (MCA4) per annum plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits! 

What you’ll be doing

  • Serve as an intermediary between the DCS's Office and internal/external stakeholders, managing inquiries professionally and redirecting as necessary
  • Manage information flow between the DCS's Office and the DCCS's leadership team, ensuring timely reporting
  • Provide high-level administrative support, including diary management
  • Research, compile and draft information for decision-making and presentations
  • Prepare high-quality written correspondence and reports for distribution
  • Organise and facilitate meetings, including agenda preparation, distribution of materials, and follow-up on action items
  • Maintain a secure document management system for confidential files
  • Exhibit excellent communication skills, including consultation, interpersonal interaction and negotiation
  • Utilise advanced system applications for efficient secretarial and administrative support

About you

You will have experience in a similar role, ideally in a healthcare setting. You will also meet the below criteria:

  • Minimum of 5 years of previous administrative experience
  • Experience in the Health Industry and/or Hospital setting
  • High level oral and written communication skills
  • Expertise in Windows Applications (e.g. Word, Excel, Access and PowerPoint) as well as Outlook
  • Strong facilitation and influencing skills, with the ability to make sound decisions and effectively prioritise tasks
  • Proactive in driving towards resolution
  • Demonstrated experience in developing and maintaining strong relationships with internal and external stakeholders
  • Ability to create collaborative work environments that prioritise trust, integrity, and open communication
