About the role

Mater Health Services is offering an exciting opportunity for a permanent full-time Senior Administration Officer to join the Central Nursing Office team.
This role will play a crucial part in assisting with staffing needs across multiple hospitals, ensuring efficient operations in nursing management. This position requires the availability of 6:45am - 3:15pm, Monday - Friday.

Salary range: $38.81 - $43.16 per hour plus 11.5% superannuation, and access to not-for-profit salary packaging up to $15,900 plus a range of staff benefits! 

What You’ll Be Doing

In this position, you will be integral to managing staffing requirements across the various Mater hospitals, ensuring appropriate coverage at all times. Your key responsibilities will include (but are not limited to):

  • Providing administrative support to the Central Nursing Office to manage staffing needs
  • Liaising with Nursing Managers and Team Leaders to identify and address staffing deficits across multiple hospitals
  • Managing staffing requirements via ShiftMatch and Trendcare, booking casual, agency, and relief staff as needed
  • Editing and approving nursing shifts on Kronos to ensure accurate scheduling
  • Assisting with onboarding new employees and ensuring proper documentation is maintained
  • Screening incoming calls and emails, escalating staffing-related issues as required
  • Maintaining high levels of confidentiality and accurate records related to staffing and operational needs
  • Ordering and managing stock for nursing units, including stationery supplies
  • Collaborating with nursing agencies for staffing and invoicing purposes
  • Ensuring seamless handover to the After-Hours Nurse Manager on staffing updates
  • Addressing general inquiries from Central Nursing employees related to staffing issues

About You

To thrive in this role, you will bring the following skills and experience:

  • Strong experience in medical administration, ideally with an understanding of nursing structures
  • Previous experience in managing staffing systems such as Kronos, ShiftMatch, Trendcare, or similar would be highly advantageous
  • Exceptional attention to detail and excellent data entry skills
  • Ability to multitask effectively and prioritize conflicting demands from multiple stakeholders
  • Highly developed organizational and time-management skills to manage staffing requirements efficiently
  • Strong interpersonal and communication skills, with the ability to work independently or as part of a team
  • Experience in rostering and staffing coordination within a hospital or healthcare setting would be beneficial
