Mater Foundation are looking for a Senior Administration Officer to join the team! This permanent, full-time role will be based at our Newstead campus.

What you’ll be doing

You will provide timely and highly effective email and diary management to the Director Lotteries, with scheduling and prioritisation of tasks, meetings, functions and work itinerary.  You will also:

  • Coordinate and prepare key documents / information for Director Lotteries to ensure all relevant information is provided prior to appointments and meetings.
  • Maintain a current, comprehensive and strategic task list for Director Lotteries.
  • Collect and disseminate information on behalf of the Director Lotteries, on matters relating to Mater Lotteries and the broad business, ensuring the highest levels of confidentiality and probity.
  • Prepare reports, correspondence, presentations and spreadsheets in a timely and accurate manner as required, and ensure they conform to Mater Foundation’s presentation style, format and content protocols.  
  • Coordinate a range of events and business meetings including organising itineraries, booking travel, accommodation, venues and catering.
  • Records management and document filing
  • Reconcile general expenses, including credit card reconciliations, Chief Executive Officer and management team as required.
  • Maintain a network of contacts to facilitate communication between the Director Lotteries and other internal and external stakeholders.
  • Continually review duties and operations to ensure optimal efficiency in the role. 
  • Work with the Director Lotteries to provide support for legal, compliance, human resources and property matters as required. 

About you

You will have time management / organisational skills: ability to plan, prioritise and organise work tasks to ensure timely completion of tasks within agreed deadlines. You will also meet the below criteria:

  • Problem solving skills: ability to appropriately prioritise problems, gather and analyse the right information to identify the right people to involve and procedures to follow to reach best possible outcomes.
  • Resourcefulness skills: as work tasks evolve, be proactive in the reprioritisation, scheduling, planning & communication to relevant stakeholders.
  • Interpersonal skills: Demonstrated ability to liaise and negotiate with all levels of
  • A thorough understanding of administrative functions and office practices.
  • Finance Platform Experience – for invoicing, payment and tracking of expenses eg FinOps.
