About the role
The Operating Room Management Information System (ORMIS) is a medical theatre management system that provides an enterprise software solution that assists in effectively managing and maintaining operational efficiency of the Mater’s operating theatre departments. The ORMIS Administrator role is responsible for managing and maintaining the ORMIS at Mater Private Hospital Springfield and will be employed on a permanent part-time basis 48 hours per fortnight, 3 shifts per week.
This role ensures accurate scheduling and data entry, supports theatre operations, and liaises with key stakeholders to maintain efficient workflows. The ORMIS Administrator also provides reporting, user support, and system troubleshooting to optimise system performance. There is no budget accountability to this role.
Salary range: $61.20 - $65.56 per hour plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
- Provide on-site face-to-face support for ORMIS use
- Respond to emails sent to the ORMIS address
- Develop and maintain system management plans for ORMIS and undertake system management duties in support of this system
- Update session times, surgeon details, allocated theatres, and comments in ORMIS
- Consult the master theatre schedule to open ORMIS schedule templates accordingly
- Create and update the weekly ORMIS schedule based on the live theatre schedule document
- Responsible for the coordination, support, enhancement and ongoing management of data and data sets within the operating room management information system
- Ensure accuracy and completeness of ORMIS data for reporting and operational decision-making
- Liaise with theatre staff, including the booking admin team and Theatre NUM to discuss use of ORMIS and areas of potential improvement
- Collaborate with theatre, administrative, and Digital teams to identify and implement process improvements
About you
Essential
- Strong communication skills, both written and verbal
- Experience in hospital administration, operating theatre workflows, or clinical systems
- Proficiency in using scheduling and data management systems
- Attention to detail and accuracy in data entry and reporting
- Ability to work collaboratively with theatre staff and management
- Flexibility to handle various tasks and adapt to changing priorities
- Self-motivated and proactive about continuous learning, developing and participating in internal & external training and networks and applying knowledge within the workplace
- Proficiency in Microsoft Office suite (Excel, Word, Outlook) and comfort with hospital IT systems
- Ability to work independently and collaborate effectively with multidisciplinary teams
Desirable
- Clinical experience in a perioperative environment
- Experience using ORMIS or similar theatre management systems
- Knowledge of healthcare data management and reporting
- Familiarity with IT service management principles and vendor coordination
- Proficient in the interpretation and application of medical terminology
