Mater Foundation are looking for an Administration Officer to join the team! This full-time, permanent role will be based at our Newstead campus.

Salary: Commensurate with experience plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
In this dynamic role, you’ll provide essential administrative support to the CEO Executive Support Officer and the broader Mater Foundation team, helping to ensure smooth day-to-day operations and successful delivery of key initiatives.
- Coordinate meetings, workshops, and events, including venue arrangements and logistics
- Manage office supplies, pool car bookings, outgoing mail, and courier services
- Support Mater Foundation campaigns and fundraising activities
- Assist with onboarding new starters and maintain accurate records for staff education fund applications
- Process invoices, reconcile expenses, and update payroll systems such as Kronos
- Organise travel and accommodation arrangements, including hire cars and expense reconciliation
- Provide general clerical support including photocopying, scanning, and data entry
- Contribute to continuous improvement of administrative systems and processes
About you
You’re a highly organised and adaptable professional with a passion for supporting others and making a positive impact. To be successful in this role, you will have:
- Demonstrated experience in administrative support and office practices
- Strong time management and organisational skills
- Excellent communication and interpersonal abilities
- High attention to detail, especially in financial and clerical tasks
- Proficiency in Microsoft Office and web-based platforms (e.g., SharePoint)
- Experience with systems like Kronos and Flexipurchase (highly regarded)
- Ability to maintain confidentiality and exercise sound judgment
- Willingness to occasionally work outside standard hours for events and activities
