About the role
Mater Foundation is seeking a Senior Administration Officer to join our Corporate & Community Engagement team. This is a permanent, full-time based at Mater Newstead.
The purpose of this position is to provide timely, confidential and effective executive support to the Director Corporate & Community Engagement (CCE) and the Director Philanthropy as required, as well as administrative support to the Corporate & Community Engagement team.

Salary: Commensurate with experience plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
- Provide proactive email and diary management for both Directors, including scheduling, prioritising tasks, organising meetings, preparing itineraries, and coordinating reporting deadlines.
- Prepare and coordinate high quality briefing packs, meeting documents, presentation materials, and supporting information for meetings, events, and supporter activities.
- Assist Directors with leadership meeting preparation, ensuring all contributions, papers, and actions are completed and submitted on time.
- Maintain strong relationships and communication channels with internal and external stakeholders, supported by effective forward planning and contact management.
- Deliver confidential, accurate and timely administrative support, ensuring all activities are completed with the highest levels of professionalism and discretion.
- Prepare reports, correspondence, presentations, spreadsheets, and draft documents that align with established organisational templates, formatting and style guidelines.
- Manage efficient filing and records systems, including CRM updates, document management, version control and compliance oversight.
- Coordinate travel arrangements, itineraries, accommodation bookings, hire cars, and complete reconciliations for travel, credit card and general expenses.
- Support the Corporate & Community Engagement team by coordinating meeting agendas, maintaining team calendars, assisting with onboarding, managing operational processes, and supporting event related financial tasks.
- Contribute to continuous improvement by identifying opportunities to streamline processes, championing digital tools, maintaining a positive team culture, and participating in professional development.
About you
You will have significant experience providing executive level administrative support, with a strong understanding of office operations, administrative processes and organisational practices.
- Demonstrated high level time management and organisational skills, with the ability to plan, prioritise and complete tasks within agreed deadlines in a fast paced environment.
- Strong problem solving capability, including the ability to analyse information, identify appropriate stakeholders, follow correct procedures and deliver effective, timely solutions.
- Proven interpersonal and communication skills, with the ability to liaise confidently with stakeholders at all levels and produce clear, concise written and verbal communication.
- Advanced computer literacy, including proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams), SharePoint, cloud based workflow tools (e.g. Monday.com) and experience using and maintaining database systems, ideally within a fundraising context.
- Demonstrated reliability, professionalism and discretion, with the ability to work both independently and collaboratively while maintaining strict confidentiality.
- A proactive, flexible and positive approach to work, showing initiative, adaptability to change and a commitment to continuous improvement in processes and practices.
This position will require some out of hours work from time to time such as attendance at fundraising events and community activities. The responsibilities associated with these events and activities are likely to be varied and of a broad nature.
