About the role 

Mater is seeking an experienced and highly organised Executive Support Officer (ESO) to provide confidential, high level administrative and governance support to the Corporate Governance & Company Secretary (CGCS). This is a pivotal role that ensures the smooth operation of the Mater Misericordiae Ltd (MML) Board, Board Committees, subsidiary Boards, and the broader Company Secretariat function.

Working within a collaborative Executive administrative team, you’ll play a key role in supporting organisational alignment and contributing to Mater’s strategic objectives. 

Salary range: $93,103 - $102,572 per annum plus superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits!  

What you’ll be doing

  • Provide confidential, high level support to the CGCS and assist in ensuring the effective functioning of MML Boards and Committees.
  • Act as an additional point of contact for Directors and Committee Members, building strong, professional relationships.
  • Coordinate Board and Committee meetings, draft agendas, manage reporting, and monitor action items.
  • Maintain forward meeting calendars, work plans, and governance schedules.
  • Use strong judgement and initiative to manage day today operational matters.
  • Deliver exceptional administrative support including diary and travel management, catering, room setup, register maintenance, and credit card reconciliation.
  • Research, collate, and prepare information and documents for decision making and presentations.
  • Manage confidential documentation through effective document management systems.
  • Support governance, risk, audit, and ESG initiatives across the organisation.

About you

You will have experience supporting Boards or Board Committees, with a deep understanding of governance requirements.

  • Excellent organisational skills and the ability to manage multiple priorities and deadlines.
  • Strong autonomy, initiative, discretion, and a commitment to maintaining confidentiality.
  • Exceptional communication, interpersonal, and relationship building skills.
  • Highly developed written communication skills with the ability to draft minutes, correspondence, and reports.
  • Strong problem solving skills, attention to detail, and the ability to work in a fast paced team environment.
  • Advanced proficiency in Microsoft Office and other administrative systems.
  • A flexible approach, particularly during peak meeting cycles.
