About the role

The Mater Mothers’ Administration Team has an opportunity available for an experienced Senior Administration Officer to join the Women’s Outpatients Team at Mater Mothers Hospital on a 12-month, maximum-term part-time basis (32 hours per week). The successful candidate must be available to work between the hours of 7am-5:30pm weekdays.

Salary range: $39.79 - $44.25 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits!  

What you’ll be doing

This position is for a Senior Administration Officer and your role will involve but not limited to:

  • Providing exceptional customer service to patients and clients
  • Arriving and departing all Women’s Outpatients appointments, predominantly through Antenatal Clinic and Maternal Fetal Medicine, with up to 350 appointments per day
  • Management of referrals, waitlists and appointment scheduling, aligning with KPIs and reporting requirements and ensuring accurate data entry
  • Management of appointment billing, including bulk billing, Medicare ineligible billing, private billing and inpatient billing
  • Handling all patient enquiries, including phone calls, and ensuring positive patient experiences at all interactions
  • Supporting clinical teams, ensuring smooth flow of daily clinics
  • Providing administrative support to clinical staff
  • Maintaining a high level of discretion and confidentiality, complying with administration, and financial policy and procedures, maintaining accurate, current, and accessible files
  • Exercising judgement where necessary to solve immediate problems in situations where precedents have not been set and procedures not defined

About you

To be successful in this role, you will demonstrate:

  • Highly experienced in providing medical administration support.
  • Highly developed time management and organisational skills
  • Strong computer skills including competence in using Patient Administration systems (or the ability to quickly learn new systems)
  • Knowledge of MBS billing
  • Excellent customer service and interpersonal communication skills
  • Ability to organise and prioritise work effectively within a busy, fast-paced, demanding environment.
