About the role
Mater at Home has an exciting opportunity for an experienced Senior Administration Officer (Vehicle Administration) to join the team on a full-time, 9‑month maximum‑term contract. In this role, you’ll play a key part in supporting the Mater at Home team by ensuring vehicle operations run smoothly and efficiently. This is a fast paced, hands on administrative position where you’ll coordinate vehicle rostering and scheduling, support the Business Support Lead, and deliver friendly, professional customer service to clinical and non‑clinical team members.
Alongside vehicle administration, you’ll contribute to the broader business support function, assisting with data entry, referral management, document control, and maintaining internal systems and external portals. You’ll work closely with Mater at Home allied health, clinical and management teams, as well as external stakeholders, and may support other SAO areas as business needs arise.
Salary range: $39.79 - $44.25 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
In this role, you will:
- Maintain accurate and up‑to‑date fleet records, including vehicle allocation, usage, servicing, incidents, fuel cards.
- Liaise with vendors, insurers, and external providers.
- Act as the primary point of contact for fleet‑related enquiries, issues, and escalations.
- Investigate and resolve queries for external stakeholders, clinicians and third parties
- Handle phone enquiries and provide advice to Allied Health & Nursing staff
- Identify improvements and participate in projects and implement changes, undertaking training and education as necessary.
- Manage external and internal systems relating to referrals (e.g. My Aged Care, pre-op service reports from IPM, Mater Health Provider Database)
- Apply knowledge of the applicable work instructions to administrative duties and business processes
- Support orders, invoices and receipt of goods for stationery and general office supplies (printer toner and paper, milk and kitchen supplies etc)
About you
To be successful in this role you will have:
- Previous experience working in logistics or motor vehicle admin would be highly regarded
- Previous administration experience working in a multi-disciplinary healthcare environment.
- Rostering & scheduling
- Ability to maintain composure when confronted with a challenging situation
- A quick learner with the ability to prioritise and manage multiple systems, functions and processes
- Previous experience using complex health information systems
- Confident (intermediate) user of the Microsoft Office suite, including Excel and Teams
- High level literacy skills, excellent phone manner and ability to convey information accurately and effectively with discretion
- Ability to critically analyse complex information, and problem solve using own initiative to deliver solutions, escalate appropriately to seek guidance and influence others
- Strong attention to detail and highly organised, with the ability to balance conflicting demands and prioritise business requirements
