About the role

The Mater Hospital Administration Team has an exciting opportunity for an experienced Senior Administration Officer to join the Appointment Management team based at our Springfield campus.

This is a temporary full-time position is offered on a 76-hour per fortnight basis role until end of financial year (June 2027).

As a Senior Administration Officer, you will play a pivotal role in supporting the efficient coordination of outpatient appointments and providing high-level administrative assistance to clinical and medical staff. You will work closely within the Appointment Management team to ensure exceptional service delivery to patients, clinicians, and stakeholders, while maintaining the accuracy and confidentiality of patient information.

Salary range: $39.79 – $44.25 per hour plus superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits! 

What you’ll be doing

  • Coordinate outpatient appointments across multiple specialties, ensuring alignment with clinical priorities and service requirements.
  • Manage referrals, waiting lists, appointment scheduling, and clinic changes efficiently and accurately.
  • Maintain precise patient records and ensure data quality within patient administration systems.
  • Provide exceptional customer service by responding professionally to patient, clinician, and stakeholder enquiries.
  • Support clinic utilisation through effective appointment management and scheduling processes.
  • Assist with onboarding, training, and providing day-to-day guidance to administration staff as required.
  • Identify and resolve scheduling issues, contributing to continuous process improvement initiatives.
  • Uphold compliance with organisational policies, privacy legislation, and administrative procedures.
  • Provide administrative support to clinical and senior management staff, including drafting routine correspondence and maintaining records of meetings and discussions.
  • Exercise sound judgement to solve immediate problems in situations without established precedents or procedures.
  • Meet and maintain multiple KPIs on a daily basis to support operational efficiency.

About you

To be successful in this role, you will have:

  • Proven experience in providing senior medical administration support, preferably within a healthcare environment.
  • Strong computer skills, including proficiency with Microsoft Office (particularly Excel) and patient administration systems, or the ability to quickly learn new software.
  • Excellent written and verbal communication skills, with the ability to draft clear and professional correspondence.
  • Exceptional customer service and interpersonal skills, with a patient-centred approach and passion for delivering an outstanding experience.
  • Highly developed time management, organisational skills, and the ability to prioritise competing demands in a busy, fast-paced environment.
  • Ability to work autonomously while knowing when to seek guidance or escalate issues appropriately.
  • Demonstrated ability to operate effectively within a team environment using initiative, sound reasoning, and strong listening skills.
  • Strong attention to detail, with a commitment to maintaining accuracy and data quality.
  • A positive and composed approach to change, with a focus on continuous improvement and problem solving.
  • Previous experience working within a medical or healthcare setting is highly desirable.
