About the role

The Mater Hospital Administration team has an opportunity available for an experienced Senior Administration Officer to work in the Allied Health Administration team. This is a fixed-term part-time role working 14hrs a week.

Salary Range: $33.59 – 37.55 (MCAS3) per hour plus superannuation and salary packaging

What you’ll be doing:

This position is a Senior Administration Officer with the Orthopedic Physiotherapy Screening Clinic (OPSC) clinic which is a part of the Allied Health department. OPSC is a service offered by the Department of Orthopedics at Mater Adult Hospital, it is a team consisting of Physiotherapists, Occupational Therapists, Dieticians and Psychology who work with patients who are on the waitlist for surgery. Any patient who is successfully triaged into the OPSC service is deemed suitable to for a trial of conservative management within the OPSC program whilst awaiting to see the surgeon.  

The OPSC admin officer's role consists of:

  • Scheduling all initial/Review OPSC assessment appointments
  • OPSC chart preparation
  • OPSC appointment changes/Cancellations and discharges of patients
  • Scoring OPSC questionnaires
  • Entering Patient results into Mars (QLD health database)
  • Preparing patient lists for OPSC meetings
  • Attending monthly OPSC meetings
  • Ensuring OPSC paperwork well stocked
  • Cover the Allied Health front desk when short staffed Providing Exceptional Customer Service to patients and clients
  • Booking and managing outpatient appointments in TAHDIS (Team Allied Health Data Information System)
  • Register and update patient details in iPM
  • Invoice/receipt patients in Totalcare and using HICAPS. (Including workcover, NDIS and DVA patients)
  • Follow up outstanding patient accounts
  • Manage phone calls from patients and clinical staff taking a variety of enquiries
  • Stock ordering in Navision and WINC
  • Maintain a high level of discretion and confidentiality, complying with administration, and financial policy and procedures.
  • Maintaining accurate, current and accessible files
  • Continually demonstrate highly developed written communication skills including ability to draft routine correspondence on behalf of management.
  • Provide administrative assistance to other senior staff and others as requested
  • Exercise judgement where necessary to solve immediate problems in situations where precedents have not been set and procedures not defined

About you

To be successful in your application, you will demonstrate:

  • Previous Totalcare/billing experience (highly desirable)
  • Previous experience in using iPM (desirable)
  • Must be able to work autonomously as well a team
  • High level of customer service, verbal and written communication skills
  • Ability to multitask, organise and prioritise work effectively within a busy, fast-paced, demanding environment
  • Highly developed time management and organisational skills
  • Strong computer skills including competence in Administration systems (and the ability to quickly learn new systems)
  • Ability to use programs such as Outlook, Word and Excel.
