About the role

Mater South Brisbane is seeking a highly motivated and experienced Administration Officer to join the team on a fixed term basis.

This is a Fixed-term, part-time role offering up to 26 hours per week, commencing until September 2025. The purpose of this role is to deliver high quality administrative support to the Manager Clarence Street and the Clarence Street Service Team.  Clarence Street provides a wide range of services including residential and outpatient to support young people who experience problematic substance use. The program is based at Mater Health Campus South Brisbane.  

Salary range: $36.51 - $40.81 per hour plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900  + access to many staff benefits! 

What you’ll be doing

  • Provide reception and telephone services with a strong customer focus to facilitate effective communication within the team.
  • Provide confidential secretarial and administrative support to the Manger and Program Coordinators.
  • Examine and prioritise incoming correspondence, papers and reports to determine action.
  • Prepare appropriate replies to correspondence for consideration and/or dispatch.
  • Design, establish and maintain effective records and information processing systems to ensure optimal administrative support to the team.
  • Support clinicians with daily general administrative tasks as required. 
  • Enter data into service systems to support reporting to funding bodies.
  • Co-ordinate supplies of stock, stationary and other team resources.
  • Record, update and maintain current and accurate patient information on IPM.
  • Exercise judgement where necessary to solve immediate problems in situations where precedents have not been set and procedures are not defined.

About you

To be successful in this role you will:

  • A current Blue Card
  • This position requires the incumbent to operate an organisation vehicle and an appropriate licence to operate this vehicle is required Queensland C Class driver’s license.
  • Completion of First Aid Training (Emergency Care Course, St John’s Ambulance is the minimum requirement)
  • Accurate data entry skills with a high level proficiency in Microsoft Office including, excel, outlook, Microsoft teams and planner 
  • High level customer service, verbal and written communication skills
  • Working autonomously and able to work within a multi-disciplinary team
  • Proven experience in organising and priorisiting work effectively within busy, fast paced environments
